View All Instances of a Link Added to Microsoft Word

You can use the Index panel to easily select each instance of a link added to Word. Each instance of a link references the same named range in an Excel workbook.

For example, if you need to select the same narrative value or roll-forward date linked in multiple places in the Word document, you can use the Index panel to easily select each instance of the link. You don't have to manually select each instance of the link or filter for and then select each instance of the link.

After you select each instance of the link, you can click each instance to view the corresponding content in Word or optionally perform an action on the selected instances of the link such as update each instance's path to the link's Excel file or refresh each instance after the link's content is updated in Excel.

You can also use the Index panel to easily select all instances of multiple links added to Word. Each method is described below.

Select All Instances of a Single Link Added to Microsoft Word

You can use the Index panel to select all instances of a link added to Word and then optionally perform an action on the link.

To select all instances of a single link added to Microsoft Word

  1. With the Word document open, click Index from the ActiveLink ribbon. The Index panel opens to the ActiveLinks tab.

  2. Right-click a link for which you want to select all instances of the link and then click View All Instances from the menu that appears.

  3. The check box next to each instance of the link you selected in step 2 is automatically selected and View Selected is automatically selected in the drop-down. As a result, each instance of the link is listed in the Index panel and the rest of the links added to Word are not listed in the Index panel.

  4. To view an instance of the link's content in Word, click on an instance of the link listed in the Index panel. The Word document is automatically navigated to the link's location in the Word document and the link's content control is displayed.

    Note: Do not click the check box next to the link. If you do this, the link will be deselected and will be removed from the list of the selected links.

  5. To optionally perform an action on the selected links, click the Options icon and select an option from the menu that appears.

    If you've selected instances of an item link, you can refresh, break, and delete the links and update the path to the Excel file containing the named range that the links should reference.

    If you've selected instances of a table link, you can perform the same actions on the instances of the link as when you've selected instances of an item link and in addition, you can update the formatting preferences applied to the selected instances of the table link - for example, you could update the width of the tables.

  6. When you are finished working with the instances of the link you selected, click the drop-down and select View by Order or View by Workbook. The full list of links added to your Word document displays again. The instances of the link you selected are still selected in the Index panel, ActiveLinks tab so you'll need to deselect each instance to exclude them from any operations you perform via the Options menu.

Select All Instances of Multiple Links Added to Microsoft Word

You can use the Index panel to select all instances of multiple links added to Word and then optionally perform an action on the selected links.

To select all instances of multiple links added to Microsoft Word

  1. With the Word document open, click Index from the ActiveLink ribbon. The Index panel opens to the ActiveLinks tab.

  2. Select the check box next to each link for which you want to view all instances of the link.

  3. Click the Options icon , and then click View All Instances from the menu that appears.

  4. The check box next to each instance of the link you selected in step 3 is automatically selected and View Selected is automatically selected in the drop-down. As a result, each instance of the selected links is listed in the Index panel and the rest of the links added to Word are not listed in the Index panel.

  5. To view an instance of a link's content in Word, click on an instance of the link listed in the Index panel. The Word document is automatically navigated to the link's location in the Word document and the link's content control is displayed.

    Note: Do not click the check box next to the link. If you do this, the link will be deselected. As a result, if you choose to perform an action on the selected links, the link will not be included in the action.

  6. To optionally perform an action on the selected links, click the Options icon and select an option from the menu that appears.

    If you've selected item links or both item and table links, you can refresh, break, and delete the links and update the path to the links' Excel file.

    If you've only selected table links, you can refresh, break, and delete the links, update the path to the links' Excel file, and update the formatting preferences applied to the links.

  7. When you are finished working with the instances of the links, click the drop-down and select View by Order or View by Workbook. The full list of links added to your Word document displays again. The instances of the link you selected are still selected in the Index panel, ActiveLinks tab so you'll need to deselect each instance to exclude them from any operations you perform via the Options menu.
