View the Details of a Link Added to Microsoft Word

After a link is Added to Word and as the link’s content is updated, you can view the following details about the link:

  • When and how the link was created in Word and the user who created the link.
  • When and how the content of the link was last updated in Word and the user who last updated the link.

    Note: When you view a link's details, you can only view when the link's content was last updated; you can't view when the link's formatting or path to the link's Excel workbook was last updated.

  • The link's location in the Word document
  • The name of the Excel workbook containing the named range the link references.

Note: You can't view the details for broken links.

When viewing a link's details, you can also optionally copy the path to the link's Excel workbook.

To view the details of a link added to Microsoft Word

  1. From the ActiveLink ribbon, click Index. The Index panel opens to the ActiveLinks tab.

  2. From the Index panel, ActiveLinks tab, right-click the link for which you want to review the link's details. A menu appears.

  3. Click View Link Details from the menu that appears.

  4.  The Link Details window opens, listing details about the link.

    The following information is shown for the link:

    • Name: Name of the link.
    • Type: The link's type (item or table).
    • Location: The link's order number and Word page number:
      • The order number of the link is listed first and indicates the order of the link, relative to the other links added to Word. A higher order number means that the link located closer to the end of the Word document. Example: Link #261
      • Note: If multiple links are located on the same paragraph row in the Word document, the order number of these links increases moving left to right.

      • The Page number indicates the Word page number on which the link is located. Example: Page 1
    • Created: The date and time when the link was created in Word and the user name of the user who created the link.

      Note: This date/time is always converted when necessary to reflect your local time zone such as when the user who created the link in Word is located in another time zone instead of your time zone.

      Note: When a new instance of a link was created via copying/pasting an existing link added to Word and the new instance of the link has never been updated, the 'Created' date/time for the new instance of the link is always later than the 'Updated' date/time for the new instance of the link. This is because when a link is copied/pasted, the information about when the link was last updated is copied to the new instance of the link. For example, if user A was the last user to update a link for a roll-forward date on 02/01/2018 and then user B copied/pasted the link on 03/01/2018 to create a new instance of the linked roll-forward date, the link details for this new instance of the link as of 03/01/2018 will reflect that the link was created on 03/01/2018 (by user B) and last updated on 02/01/2018 (by user A).

    • Created Via: Lists the ActiveLink operation used to create the link:

      • Add Link: When the link was created in Word using the Index panel via the Add Link operation, 'Add Link' is displayed.
      • Copy Link: When an instance of a link was created in Word by copying/pasting an existing link added to Word, the text 'Copy Link' is displayed. The instance of the link was created by duplicating a link via the Copy Link operation.
      • Restore Link: When the link was created in Word again by restoring a broken link, the text 'Restore Link' is displayed. When a broken link is restored, it is created again (it is not updated).

        Note: If a link that was restored has never been updated after it was restored, the link's Created date/time will be later than the link's Last Updated date/time. This is because the link was last updated prior to being broken and when a broken link is restored, it is created again (it is not updated).

    • Last Updated: The date and time when the link was last updated in Word and the user name of the user who updated the link.

      Note: This date/time is always converted when necessary to reflect your local time zone such as when the user who last updated the link in Word is located in another time zone instead of your time zone.

      Note: When a new instance of a link was created via copying/pasting an existing link added to Word and the new instance of the link has never been updated, the 'Last Updated' date/time for the new instance of the link will be earlier than the 'Created' date/time for the new instance of the link. This is because when a link is copied/pasted to create a new instance of the link, the information about when the link was last updated is copied to the new instance of the link. For example, if user A was the last user to update a link for a roll-forward date on 02/01/2018 and then user B copied/pasted the link on 03/01/2018 to create a new instance of the linked roll-forward date, the link details for this new instance of the link as of 03/01/2018 will reflect that the link was created on 03/01/2018 (by user B) and last updated on 02/01/2018 (by user A).

    • Last Updated Via: Lists one of the following ActiveLink operations used to update the link:

      Note: If a link is cut/pasted, this action has no effect on the link's 'Last Updated' information. This action will only change the link’s order and depending on where the link is pasted, this action can change the Word page number on which the link is located.

      Note: When a broken link is restored, the link is not updated. This is because when a broken link is restored, it is created again (it is not updated).

      Note: When a new instance of a link was created via copying/pasting an existing link added to Word and the new instance of the link has never been updated. the 'Last Updated Via' information for the new instance of the link reflects the ActiveLink operation that was used to last update the link that was duplicated to create the new instance of the link. This is because when a link is copied/pasted to create a new instance of the link, the information about when the link was last updated is copied to the new instance of the link. 

      • Add Link: When the link has never been updated after it was created in Word, the text 'Add Link' is displayed.

      • Refresh Link: When the link was last updated in Word via the Refresh Link operation, the text 'Refresh Link' is displayed.

      • Reload Link: When the link was last updated in Word via the Reload Link operation, the text 'Reload Link' is displayed.
      • Note: If a link was selected to be refreshed or reloaded but there were no changes to apply to the link, this has no effect on the Last Updated Via information for the link.

    • Source: Name of the Excel file containing the named range that the link references.
  5. Optionally click the Copy icon to copy the path to the link's Excel workbook to the clipboard.
